Why We Built the NADJ Command Centre

If you’ve noticed NADJ answering faster, remembering your history, and generally running tighter over the past year, there’s a reason. Behind the scenes, we’ve been building something we call the Command Centre — the operational engine of the association. It’s not a product you’ll ever click on, but you feel it every time you deal with us. Here’s what it is, and why we chose to spend real development time on it instead of buying something off the shelf.

One association, one memory

Before the Command Centre, NADJ ran the way most member organisations do: an inbox here, a chat widget there, spreadsheets in between, and knowledge living in one volunteer’s head. If you emailed us in March and rang in June, whoever picked up was starting from zero. That’s not a people problem — it’s a systems problem, and every association that relies on scattered tools has it.

The Command Centre fixes it at the root. Every email, every chat conversation, every request and every action now lands in one place, logged against your membership record. When you contact us, the team sees the whole relationship in one place — your membership, your renewals, your previous questions, your engagement — instantly. You never have to repeat yourself, and nothing falls down the gaps between tools, because there are no gaps.

Why build, not buy?

The honest answer: because your membership fees are ringfenced, and we treat them that way.

NADJ is a Community Interest Company. Subscriptions sit inside the CIC, protected by a legal asset lock, and every pound has to justify itself against member benefit. The off-the-shelf route — a helpdesk platform here, a live-chat subscription there, an email marketing tool, a CRM to glue it together — quietly adds up to thousands of pounds a year, forever, for tools that were never designed for a UK DJ association and never talk to each other properly.

Building our own meant a one-off investment of time instead of a permanent drain on member funds. It also bought us three things money can’t rent.

Your data stays ours — and yours. Conversations, membership records and history live on NADJ’s own systems, not scattered across third-party platforms with their own terms, their own servers and their own price rises. For an organisation handling members’ personal data, that’s not a nice-to-have; it’s the responsible baseline.

It fits us exactly. The Command Centre knows what a PLI certificate is, what a Directory listing is, how our membership tiers work. No generic tool does. That’s why the NADJ Assistant can do things — fetch your certificate, sort your renewal, change your plan — rather than just take a message.

An audit trail worthy of a CIC. We’ve said from the start that transparency is how we earn trust: decisions minuted, actions logged, questions answerable. The Command Centre bakes that in. Every member interaction and every action taken is recorded, so when we report to members — or to the CIC Regulator — we’re not reconstructing history, we’re reading it.

What it’s already doing for you

The results aren’t theoretical. The Command Centre already powers the NADJ Assistant answering members around the clock on the main site and across the Directory; certificates and password resets delivered in seconds instead of email round-trips; escalations that reach a human with the full story attached; member emails that arrive properly branded, properly batched, and with a working unsubscribe link — because doing email respectfully matters; and a feedback loop where every thumbs-down on a chat answer lands on the team’s desk and improves the answer for the next member.

The Member Portal: the front door to all of it

The Command Centre’s engine room is invisible — but this year it gained a front door you will see: the new Member Portal at nadj.org.uk/my-account.

Why we rebuilt it. The old account area was what every website platform gives you out of the box: a sidebar list of system nouns — Orders, Downloads, Addresses — that made sense to software, not to DJs. Members didn’t come to “view downloads”; they came to get their PLI certificate for a venue, sort a renewal, fix their directory listing. So we redesigned the portal around what you came to do, not how the database is organised: a clean dashboard of purpose-built cards that take you straight to the job — and behind it, the same Command Centre engine, which means the portal doesn’t just show you information, it lets you act on it. The same reasoning drove it as everything else here: one login, one record, no email round-trips for things you should be able to do yourself in ten seconds.

What lives in the portal:

Your membership, in one place — your tier and status, your renewal date and billing, and plan management, with monthly and annual options handled properly.

Proof of insurance, three ways — your PLI & Membership Certificate attached to your latest order for download, plus the modern alternatives: the live PLI verification link on your Directory listing, and your e-Membership Card with its QR code — one scan puts your live, current cover status in a venue manager’s hand. Request the e-card right from the portal.

Your Member Badge — under the My Membership tab, copy-and-paste embed codes for the Classic and Inclusive rainbow badges: live verification for your own website that displays only while your membership is active.

Equipment Insurance — optional cover for your own gear (indicatively around £100 for £10,000 of cover, available to all paying tiers), added from the Membership area in a few clicks.

Your identity, everywhere at once — update your name and details once under Account Details and they flow through: your e-card, your badge, your directory profile link. One edit, every surface.

The Assistant, always in reach — the orange tab follows you through the portal, and because you’re logged in, it’s at full power: fetching documents, checking which membership system you’re on, changing your plan, taking your trust-signal evidence.

And one login covers the network. Your nadj.org.uk credentials work on the NADJ Directory too — portal for your membership, directory for your public profile, one identity across both.

Like everything the Command Centre powers, the portal is owned outright, costs members nothing in recurring licence fees, and improves continuously — several of its features started life as member requests through the Assistant’s feedback buttons. Which is the system working exactly as designed.

The volunteer lesson, learned

The old NADJ ran on goodwill, and goodwill doesn’t scale. A handful of people carrying everything in their heads is how associations stall — we’ve written openly about that. Professional delivery needs professional infrastructure, and infrastructure is unglamorous right up until the moment you need it. The Command Centre is that infrastructure: built once, owned outright, improving every month, and costing members nothing in recurring licence fees.

We’d rather spend development hours than your subscriptions. That’s the whole reasoning, and we think it’s the right trade.

What’s next

The Command Centre isn’t finished — by design. Every conversation members have with the Assistant shows us what to build next, and the feedback buttons inside the chat feed the roadmap directly. If there’s something you think NADJ should handle better, tell the Assistant. That’s not a suggestion box — it’s the actual development pipeline.

Change is good but change for change sake can be a sign of not understanding the true needs of what must be done. I believe the secret of change is to focus all your energy, not on fighting the old, but on building the new. The Association is long overdue revision and reform that better suits the members.

A new approach to reviving the many reasons why membership is the right choice for hard-working DJs is a better understanding of today’s DJ. By helping members maintain a better work-life balance with money saving benefits or having access to advice from experienced fellow members or sharing work opportunities, it is all for naught unless there is a fundamental mutual respect towards everyone, no matter their view or standing.

Community is important to the success of NADJ and it is the huge support of the membership that we can all pride ourselves on. It is, however, inevitable that a collective of people will disagree from time to time, albeit having a common goal. It is essential that open and fair discussion is encouraged to allow opinion and debate to enhance the values that NADJ stand by. I believe that by creating a culture of positive ideas backed by action this forum can encourage us to move forwards in boosting the public opinion of UK DJs. By way of a campaign, aimed directly at the consumer, NADJ in collaboration with other associations and DJ groups, can represent the benefits of choosing a DJ that is encouraged to apply best practices towards their clients with a view to enhance their business. This path can be applied to all types of DJ, from bedroom to festival and radio and by being more inclusive and properly acknowledging these equally important types of DJ into our community, we can be enriched with their viewpoint and expertise of the industry we all work in.

Our industry is one of supplying a serious amount of dedication and excellent customer experience wrapped in an evening of fun, music and dancing. When you are passionate about your work and strive to be professional, it is a welcome relief to be able to meet, network and collaborate with industry colleagues whilst having a little fun. The branch sessions, events and gatherings that happen across the UK require dedicated committee officers to make these happen regionally and nationally. Without the hard work, that is volunteered, the branch sessions would not be possible – and I thank all of you for your unflagging efforts to run great branches. I agree with opinion that NADJ life has become overly serious and in some cases stale, adopting a tired constitution, no longer in keeping with current member needs and aspirations undermined by language that is outdated. I see the need for reform of the constitution, more inclusive language and attitude, updated to reflect the industry we work in today and instrumental in helping the membership to grow and develop by attracting younger DJs to understand how the NADJ can offer a sound platform to boost their DJ career.

All this I believe is important to make being a member an enjoyable and enriching experience but the serious business of running an association is not all about fun (not for NEC committee members anyway), it is a task that relies on consistency, diplomacy and the ability to make new relationships whilst maintain the ones we have happy. Without the support of members and the industry, no matter how much fun and energy you would like at a branch session, it will be difficult to achieve without the help of great content organised on time and with consideration – this is not a job where you can ‘wing it’… I have never winged anything. I look forward to your vote.

Alastair Craig

My name is Alastair Craig and I am a full time DJ with over 30 years’ experience of providing services to many events, including Weddings, Birthdays and Corporates.

Apart from DJ’ing I am also involved in the IT industry and have been advisory on protecting Children’s Data and more recently been involved in testing software for a leading DJ company.

Outside of work I am is a keen Scuba Diver and currently serve as the Diving Officer for Reading University in which I also act as a mentor and Assistant Instructor.

I am running for Secretary for NADJ as I feel that I can bring some new ideas as well as my organisational skills to the table, not just from my experience within my DJ work but from my other involvement in IT to which assessment, planning through to delivery  was key to my role.

At this time, I feel NADJ is ready for change and I am certainly open to listening to new ideas from the membership to move the association in a new fresh direction.

Let’s leave the politics behind and concentrate on building new relationships from within as well as looking after the ones that have already been established.

Firstly, thank you to those who felt I was worthy to be nominated for a position on the National Committee. I’m not sure I should be grateful, but I am very honoured by your faith in me.

Some of you may know me as the fun, gig addicted, rock music loving Chairman of the South Central Branch but if you don’t and haven’t seen my recent profile piece in Pro Mobile issue 95 (yes shameless self-promotion) then let me briefly introduce myself.

I’m Dave Mills; I had been a struggling DJ for many years working for an agency in Berkshire until I was invited to a NADJ meeting. The people I met within NADJ inspired and helped me to leave the agency and successfully branch out on my own. I’ve made some great friends and learned A LOT. By joining the committee and then becoming the south central chairman I have found myself in a position to encourage and support other aspiring DJ’s to do the same as myself. The range and wealth of knowledge, experience and professionalism within NADJ still floors me making me feel in awe but very proud to be a part of it all.

I am open minded to new ideas and using feedback from our members and non-members, working together as a team so everyone has a voice and every member gets something extra from being in NADJ (not just a P.L.I.) and feels part of our mad music addicted community.

I would like to think that my 6 years on an NADJ committee have given me the experience required to move up to the challenge of becoming National Secretary. I am under no illusion that there is a difference between running a branch and taking on a role at national level and it’s not always going to be easy (but I hope not to the point of sitting on a chair sticking pencils up my nose, with pants on my head and saying ‘wibble’) but for some insane reason I’m looking forward to taking on the challenge.
